About the Role

The QA Specialist will support the maintenance and improvement of our quality management system (QMS), help resolve customer issues, and assist with internal and external audit activities.

Key Activities

  • Maintain and update quality system documentation, including SOPs, work instructions, forms, and records.

  • Ensure controlled documents are current, accessible, and compliant with applicable standards.

  • Support the management of the document control system and assist in training staff on updated procedures.

  • Track and close corrective and preventive actions (CAPAs) promptly.

  • Draft, revise, and improve procedures and work instructions based on operational needs and audit findings.

  • Collaborate with cross-functional teams to identify gaps in existing processes and recommend improvements.

  • Participate in root cause analysis activities and help implement corrective actions.

  • Receive, document, investigate, and respond to customer complaints in accordance with established procedures.

  • Coordinate with relevant departments to gather information needed for complaint resolution.

  • Track complaint trends and escalate recurring issues to the Quality Manager.

  • Manage nonconforming product/material records and facilitate disposition decisions.

  • Assist in the scheduling, preparation, and execution of internal audits.

  • Support external audits (customer, regulatory, or certification) by gathering documentation and coordinating logistics.

  • Document audit findings and track closure of corrective actions.

  • Ensure all team members are appropriately trained on quality procedures, work instructions, and applicable regulatory or standards requirements.

  • Maintain accurate and up-to-date training records for all personnel in accordance with quality system requirements.

  • Develop and manage a training matrix that maps required training to roles and tracks completion status.

  • Coordinate onboarding quality training for new employees and retraining when procedures are updated.

Preferred Skills

  • Experience with an electronic QMS (eQMS) platform.

  • Exposure to internal auditing; CQA, CQE, or similar certification a plus.

  • Familiarity with root cause analysis tools (5 Whys, fishbone, etc.).

  • Experience in a regulated industry (manufacturing, medical devices, food, etc.).

Education and Experience

  • Associate's or Bachelor's degree in a related field (or equivalent experience).

  • 1–3 years of experience in a quality assurance or quality control role.

  • Familiarity with a quality management system (ISO 9001, ISO 13485, etc.).
